Leased hardware instead of a capital purchase, on a Gold agreement

Aging desktops were the real problem, not the support contract. We put dual-monitor workstations on a per-user lease so the refresh became an operating expense.

$45
Per user, per month, leased desktop
$0
Capital outlay for the refresh
$500
Onboarding per user, reduced from $1,000

This is a long-standing business — the proposal we wrote cited an 18-year legacy — running on desktops well past the point where support hours were cheaper than replacement.

The hardware question

Buying a fleet outright means a large one-time number and a depreciation schedule. Leasing dual-monitor workstations at $45 per user per month turns that into a predictable operating line that sits next to the managed IT number on the same invoice, and the refresh cycle stops being a budget event.

Documentation stays theirs

Every credential, diagram and asset record we build for them is available to them at all times through our secure portal. If they ever decide to leave, they leave with the documentation. That is written into the agreement, not offered as a favor.
